Clarification without rewriting the supplier's answer

How to frame narrow, fair clarification questions when a supplier onboarding application contains uncertainty.

Clarification can improve a procurement record, but it can also become unequal assistance if the question tells one supplier how to cure a substantive failure.

Start with the governing rule

Confirm that clarification is permitted, who may authorise it and whether a response deadline applies. Some processes allow confirmation of an existing fact but not replacement of missing mandatory evidence. The audit note should not decide that legal question unless the mandate and expertise support it.

Point to the uncertainty

A neutral question identifies the records that conflict and asks the supplier to explain or confirm. For example: “The application names Entity A, while the insurance schedule names Entity B. Please confirm which entity seeks onboarding and explain the relationship between these records.”

That wording surfaces the issue. It does not suggest which entity the buyer prefers, promise that new evidence will be accepted, or draft the supplier’s declaration.

Keep a complete trail

Retain the question, authorisation, date sent, response deadline and answer. Then update the finding without erasing the original exception. A future reader should be able to see both the uncertainty and how it was addressed.
