“Current” sounds simple until a certificate expires between application, approval and the start of work. A defensible check records the date against which validity was tested.
Identify the relevant date
The buyer’s criteria may require evidence valid on submission, valid when onboarding is approved, or maintained throughout the contract. Those are different tests. If the wording is silent, record the ambiguity rather than choosing the most convenient interpretation.
Capture the whole validity context
Record issue date, expiry date, named entity and any conditions shown on the evidence. For an online status result, preserve the search date and reference according to the source’s terms. A screenshot without context may not be enough for later review.
Treat approaching expiry as a visible risk
Evidence can satisfy a submission-date test and still need renewal before work begins. Mark it compliant for the test it passes, then raise the operational follow-up separately. This avoids distorting the current finding while preventing a foreseeable lapse from disappearing.
